Selected Notes from April 15, 2025 Meeting

3) Acceptance, with Sincere Appreciation, of Ted Smith’s Resignation from the Pinedale Board:
After many faithful years on the Pinedale Board, and many dedicated years of active service, Ted Smith has resigned as President and as Director of the Pinedale Board. With deep appreciation for his formal commitment to Pinedale Cemetery, it was moved by Donna T., seconded by Brian H., that Ted Smith’s resignation be accepted with sincere appreciation – motion carried.

4) Norma Ferguson, – Acceptance, with Sincere Appreciation, for Norma Ferguson’s Membership on the Pinedale Board:
Already a contributor to Pinedale Decoration Day services and to Pinedale Cemetery, the Board was very pleased to have Norma Ferguson participate as a Pinedale Board Director. To formalize this position, it was moved by John M., seconded by Brian H. that Norma F. be accepted as a Director on the Pinedale Cemetery Board. Motion carried with welcome and sincere appreciation extended to Norma F.!

8) Election of Executive and Board Positions:
After discussion and nomination, the following Director and Executive positions were determined: President – John M.
Vice-President – Jay S.
Secretary-Treasurer – Rick D.

After a discussion on adding additional community members to the Board, with a request that present Board members seek out potential Directors, it was moved by Brian H., seconded by Norma F., that the aforestated Director and Executive positions be approved. Motion carried.

9 e) Ancestry.ca Request:
To facilitate the research required to compile the annual self-guided tour, Rick D. requested the Board approve a one month membership to Ancestry.ca at an approximate cost of $40.00. Jay S. informed the Board that he has a membership and offered this service to the Board. Appreciation was extended to Jay S. for this offer.

9 f) Legacy Fund Suggestion:

Rick D. presented to the Board a proposal entitled “Pinedale Cemetery Legacy Fund”. This proposal would offer the opportunity for community members to donate $5000.00 or more in memory of a person or persons. A donation receipt would be issued to the contributor for taxation purposes. This donation would then be invested in the Pinedale Legacy Fund and the interest earned used to enhance and support the cemetery and the church building. There are three key points:

1) The minimum Legacy Fund donation would be $5000.00. This principal would be invested in perpetuity with the interest paid out annually to the Pinedale Operating Account. This principal and the interest earned would be identified in the name of the person being honoured. e.g. “The Alie and Tuenis Molenaar Legacy Fund”.

2) The Pinedale Board would retain control of the principal and interest. Most importantly, the interest earned and annually deposited to the Operating Account would then be used to enhance and support the cemetery as determined by the Board.

3) The Pinedale Board would report in its annual newsletter how each Legacy Fund contribution was used. e.g. “Funding to replace the east fence was supported by the Alie and Teunis Molenaar Legacy Fund”. As the Legacy Fund grows, with potentially multiple contributors, it could prove to be a valuable, long-term source of funding for Pinedale. Most importantly, the Legacy Fund is a tangible way a contributor could honour a loved one(s).

Because there were many questions and perspectives shared, the Board agreed to two directions for 2025:

a) As information only with no commitment by the Board, a summary of the Legacy Fund proposal will be drafted by Rick and included in the Pinedale Cemetery Report for the community to consider and ask about.

b) Over the next year, Pinedale community members will be asked to respond to the Legacy Fund proposal by letter, email, text or direct conversation so that the Board can fully consider the feedback and create Legacy Fund parameters at the 2026 Pinedale Annual General Meeting.

13 f) Sunderland Lions Community Theatre:
As the Board was aware, the Sunderland Lions Community Theatre (SLCT) was given permission to store its costumes and properties in the basement of the church. This support has been invaluable to the SLCT! On behalf of the SLCT, Rick D. expressed appreciation to the Pinedale Board for its support through a donation of $100.00 to Pinedale.
